Crypto accounting: reconciling USDC in QuickBooks

Stablecoin payments are only as good as the records behind them. Here's how to keep USDC activity clean in QuickBooks or Xero so month-end is easy and your CPA has what they need.

The basic approach

  • Treat your USDC account like a separate bank account in your books
  • Connect it through an accounting integration or a regular transaction export
  • Match each incoming payment to its invoice, and each outgoing payment to its bill
  • Record platform and conversion fees as fees, not as part of the payment
  • Reconcile monthly, the same way you would a bank statement

Connecting your accounts

Coinbase Business offers accounting integrations. Where an integration doesn't fit your setup, a simple monthly export and import process works well. We help pick the approach and document it so your bookkeeper can run it.

What your CPA will want

  • A full transaction history with dates, amounts, counterparties and references
  • Records of conversions between USDC and dollars
  • Fee detail
  • Your written treasury policy

Tax treatment of digital assets depends on your situation and is changing. Your own CPA should advise on reporting.
